Terms & Conditions and Cancellation Policy
1. Booking & Payment
A non-refundable deposit of $100 is required to secure your booking. This will be deducted from the final balance.
The remaining balance is due on or before the day of the session unless otherwise agreed.
Dates are not secured until the deposit is received.
The deposit holds your date and covers administrative time and planning. If you cancel more than 48 hours before the session, you may reschedule within 30 days without paying a new deposit (subject to availability). If no reschedule is made within that period, the deposit is forfeited.
Travel up to 30 miles from Steamboat Springs is included. Travel beyond that may incur additional fees. Please inquire for custom travel estimates.
2. Film Photography Notice
I work exclusively with 35mm film. This creates a unique, timeless aesthetic, but it also means:
Images are not instantly available (please allow 2–4 weeks for processing).
Film is a physical medium—while rare, mishaps such as lab errors or film faults can occur.
Each roll is shot intentionally; I may take fewer photos than a digital photographer, but each frame is carefully composed.
Each roll of 35mm film contains up to 36 exposures, but not every frame is guaranteed. Due to the nature of film, some frames may be unusable (e.g., due to light leaks, focus issues, or lab errors). I’ll return as many high-quality scans as possible from each roll, carefully selecting the best images to represent your session.
3. Rescheduling & Cancellations
Cancellations made less than 48 hours before the session will forfeit the deposit.
You may reschedule once at no charge with at least 72 hours’ notice.
In case of illness, extreme weather, or emergency (from either party), we will arrange a new date or refund where appropriate.
Please note that overcast conditions, light rain, and light snow are not considered extreme weather.
Cancellations due to anticipated weather conditions (e.g., forecasted rain, wind, or temperature changes) will not be eligible for a refund. I will monitor weather closely and make necessary adjustments if conditions become unsafe or unworkable on the day of the shoot.
4. Delivery of Images
Final digital scans will be delivered via Dropbox within 2–4 weeks of your session date. Please download and back up your files promptly. I do not guarantee long-term storage of images, but I do my best to archive files for up to 6 months.
I do not provide raw negatives unless agreed in advance.
Negatives can be requested for an additional fee.
The number of final images delivered will vary depending on the session, lighting, and the number of usable frames, but typically ranges from 25 to 36 per roll of film.
5. Creative Rights & Style
By booking, you acknowledge that you are hiring me for my artistic style. I do not guarantee specific shots or editing styles beyond what is represented in my portfolio.
My editing process for film scans is minimal and true to the original frame. This includes basic dust removal, straightening, and tonal adjustments. I do not offer extensive digital retouching.
6. Client Responsibilities
You are responsible for securing any necessary permissions or location access.
Please arrive on time. Time lost due to lateness cannot be recovered or extended.
Sessions that begin more than 20 minutes late without notice may be considered a no-show and may be forfeited.
Children or pets must be supervised at all times during the session.
7. Copyright & Usage
I retain the copyright to all images taken.
Clients are granted personal use rights: you may print and share the images for personal, non-commercial purposes.
Images may not be altered, filtered, or edited without permission.
If you share images from a shoot to your social media platforms, you agree to credit/tag @filmbyannie in the caption or image.
I reserve the right to use images for my portfolio, website, and social media.
I respect your privacy — if you prefer that your images not be shared online or used in my portfolio, please let me know in writing before the session. No personal information will ever be shared.
8. Liability
While I take every care, I cannot be held liable for:
Loss or damage to images due to lab error or film faults.
Personal injury, loss, or damage during the session.
My liability is limited to the total amount paid for the session.
In the rare event that film is lost, damaged, or unusable and no images can be delivered, I will offer a full refund or a complimentary reshoot, subject to availability.
